This privacy policy applies to all the publicly accessible pages on the Hopefield Services Inc. (Hopefield) site located at www.hopefield.org.au.

We recommend you read this policy before providing us with any personal information or before using our website. By providing us with your personal information or by using the website, you are confirming your agreement to the policies and procedures described in this policy.

The Hopefield website is maintained by Hopefield Services, Inc. We will periodically review and may revise this policy. We reserve the right to change this policy at any time. Hopefield does not have any responsibility for the privacy policies or practices of third party sites linked to the Hopefield site.

What information do we collect?

When you look at the pages on the Hopefield site, our computers may automatically record information that identifies, for each page accessed:

  • the IP (Internet Protocol) address of the machine which has accessed it
  • your top-level domain name(for example.com, .gov, .edu, .au, .uk etc.)
  • the address of your server
  • the date and time of your visit to the site
  • the pages accessed and documents downloaded
  • the previous site visited and
  • the type of browser and operating system you have used.

Only sessional cookies are used from the Hopefield site to collect information. This information is unable to be retained once the user session has ceased.

How do we use the information collected?

The information collected during each visit is aggregated with similar logged information and published in reports in order for Hopefield to identify patterns of usage of the site. This will assist us in improving the Hopefield site and the services it offers.

Hopefield will not disclose or publish information that identifies individual machines, or potentially identifies sub-groupings of addresses, without consent. Hopefield will not share your personal information without your express consent and instructions (unless required to by law). What exceptions are there to this rule?

Hopefield will collect, use and disclose more extensive information than stated above in the following circumstances:

  • unauthorised attempts to access files which are not published Hopefield pages
  • unauthorised tampering or interference with files published on the Hopefield site
  • unauthorised attempts to index the contents of the Hopefield site by other sites
  • attempts to intercept messages of other users of the Hopefield site
  • communications which are defamatory, abusive, vilify individuals or groups or which give rise to a suspicion that an offence is being committed; and

Hopefield reserves the right to make disclosures to relevant authorities where the use of the Hopefield site raises a suspicion that an offence is being, or has been, committed. In the event of an investigation, Hopefield will provide access to data to any law enforcement agency that may exercise a warrant to inspect our logs.

Is the information stored securely?

Yes. Information collected is stored in an appropriately secure format and held by Hopefield for archival purposes. When the information is no longer required for the purposes for which it was collected it is deleted.

What will we do with information provided in our Contact form?

Hopefield provides a contact form facility on the Hopefield site to allow users to make contact with Hopefield regarding content such as services, donations and volunteering opportunities presented on the Hopefield website. The use of the contact form is optional as personal details are required for the purpose of receiving a reply to their contact. This information will only be used for the purpose for which it was provided. We will not add your email address or name to any mailing list without your consent. Hopefield may publish aggregated information about contact form use in its Annual Report, to the extent that it does not identify or cannot be used to identify individual users.

What will we do with information provided through our Donation page?

Hopefield provides a facility on the Hopefield site to allow users to make financial donations to Hopefield. The use of the donations form is optional as personal details are required for the purpose of processing donations. Payments are processed through a secure online payment gateway (such as Stripe, Paypal or equivalent). The information collected by Hopefield will only be used for the purpose for which it was provided. We will not add your email address or name to any mailing list without your consent. Donations may be made to Hopefield without using the Hopefield website by contacting Hopefield directly. Hopefield may publish aggregated information about donations in its Annual Report, to the extent that it does not identify or cannot be used to identify individual donors.

What will we do with information provided when you sign up to receive our newsletter?

Hopefield provides a facility on the Hopefield site to allow users to receive a regular newsletter. Users must opt in to receive the newsletter via email. This information will only be used for the purpose for which it was provided. We will not add your email address or name to any other mailing list without your consent. Hopefield uses secure online marketing platforms to distribute its newsletter. Hopefield may publish aggregated information about newsletter distribution in its Annual Report, to the extent that it does not identify or cannot be used to identify individual subscribers.

What rights do users have over their data?

If you have recorded personal information on this site, used the contact form or signed up to receive a newsletter or other communication from us, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us by contacting Hopefield. You can also request that we modify or erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we comply with the Notifiable Data Breaches Scheme

We will notify you in the event your personal information is involved in a data breach that is likely to result in serious harm. This notification will include recommendations about the steps you should take in response to the breach. We will also notify The Australian Information Commissioner of eligible data breaches. Each suspected data breach reported to us will be assessed to determine whether it is likely to result in serious harm, and as a result require notification.

How do I report a complaint about a suspected breach of the Australian Privacy Principles?

If you have concerns about how we handle your personal information please contact us directly and we will attempt to rectify the situation as well advise you on how to make a formal complaint if you are not satisfied with the resolution. Will this policy be updated over time?

Due to the developing nature of privacy principles for online communication, this policy may be modified or expanded in light of new developments or issues that may arise from time to time. The amended policy will be posted to this site and will operate from the time it is posted.
